# Setting up and updating your menus

## This article explains how to set up your CMS playlist for Menu Builder, then create, check and publish menu updates to your screens without editing video.

### Before you start

Menu Builder lets you update the menus on your screens by filling in a template, with no video editing needed. It works alongside the Content Management System (CMS) in two parts:

1. **Set up** in the CMS. Here you tell Menu Builder which items on your screens it can replace.
2. **Activation** in Menu Builder. Here you choose a template, add your menu details and publish.

Complete Part 1 before starting Part 2. You only need to do Part 1 when you first set up, or when you add a new media item to the playlist.

**You will need:**

- A login for the Content Management System
- A login for Menu Builder
- Your menu details ready to go, such as item names, descriptions, prices and images

### Key terms

| Term | What it means |
| --- | --- |
| **Media item** | A single piece of content, such as an image or video. |
| **Playlist** | A list of media items that play on a screen in order. |
| **Playlist entry** | One media item sitting inside a playlist. |
| **Tag** | A label that links a media item to a screen, such as Screen1, Screen2 or Screen3. |
| **Channel** | What sends your playlist to the screens. |
| **Daypart scheduling** | Showing different content at different times of day, such as breakfast in the morning and dinner at night. |
| **Template** | A ready-made menu design in Menu Builder. You fill in the details and it does the rest. |
| **Draft** | A preview of your new menu that you check before it goes live. |
| **Render** | When Menu Builder turns your template and details into a finished video. |

### Part 1: Set up in the Content Management System

This part gets your playlist ready so Menu Builder can find the right items. You only need to do it for your initial set up, or when you add a new media item to the playlist.

1. **Open your playlist.** Log in to the CMS and open the playlist you want to update. If the playlist doesn't exist yet, create a new one.

2. **Add your playlist entries.** Add the media items you want Menu Builder to be able to replace. Each one you add becomes a playlist entry.
3. **Name each media item starting with Menu:** The name of every media item you want to use in Menu Builder must start with `Menu:` (capital M, followed by a colon). For example: `Menu: Breakfast Combo 1`. 
     - This is the most important step. Menu Builder only shows items that start with `Menu:`. If you leave out the prefix or spell it differently, Menu Builder won't show the item

4. **Add tags.** Add a tag to each media item to match the screen it plays on, for example Screen1, Screen2 or Screen3. These tags are generally already set up on your screens, so pick the one that matches. If your screen doesn't have any tags, make sure you add one that matches your media items tag.
5. **Save the playlist.** Click Save. Menu Builder won't see your changes until you save.
6. **Add the playlist to a channel.** Check your playlist is scheduled in a channel. If it isn't, add it to the channel for your screens. If your menu changes during the day (for example, breakfast, lunch and dinner), set up your daypart scheduling here.

7. **Why don't all my playlist items show in Menu Builder?** Menu Builder only shows items that start with `Menu:`, and that's on purpose. Your playlist might include marketing videos that no one should replace. Leave the `Menu:` prefix off those items. They'll keep playing on your screens, but they won't appear in Menu Builder, so no one can overwrite them by mistake.

**Before moving on, check:**

- Every media item you want to replace starts with `Menu:`
- You've saved the playlist
- You've added the playlist to a channel

### Part 2: Activation in Menu Builder

This part is where you create your new menu and send it to your screens.

1. **Choose a screen.** Log in to Menu Builder and click the screen you want to update. You'll see the playlist entries you set up in Part 1.

2. **Choose the entry to replace.** Click the playlist entry you want to replace. The editing panel opens.
3. **Click Change Template.** You'll find the Change Template button in the top right corner of the editing panel. You only need to do this the first time you set up an entry.

4. **Pick a template.** Choose a template that has been assigned to your team and location.
5. **Fill in your menu details.** Edit the fields and options shown, such as item names, prices and images. You can only change the fields you see.

6. **Click Submit for render.** Once you're happy with your details, click **Submit for render**. Menu Builder will start building a draft of your new menu.
7. **Go to the Submissions page.** Find your draft on the Submissions page. It can take a short while to show up.
8. **Check your draft.** When the draft is ready, click **View draft**. Check it carefully: spelling, prices, images and layout. 
     - If everything looks right, click **Accept and publish**.
     - If something is wrong, do not publish. Go back to the entry, fix your details and submit again.

9. **Menu Builder does the rest.** After you publish, Menu Builder creates the full video, uploads it to the CMS and replaces the playlist entry you selected. You don't need to do anything in the CMS.
10. **Update more entries.** To replace another playlist entry, go back to step 1.

**Important:** Accept and publish replaces the selected playlist entry on your screens. Always check your draft before publishing.

### Updating a menu next time

You don't need to click Change Template every time. Menu Builder remembers the template and the details you submitted last time, so you can pick up where you left off.

1. **Choose the screen and entry.** Open Menu Builder, click the screen, then click the entry you want to update. Your previous details are already filled in.
2. **Update the fields.** Change only what you need, such as a price or a special.
3. **Click Submit for render.** Then follow steps 7 to 9 in Part 2 to check your draft and publish.

Only use Change Template if you want to switch to a different template.

Once you know the steps, use this as a quick reminder.

**In the CMS**

- Add media items to the playlist
- Start each name with `Menu:`
- Add tags
- Save the playlist
- Add the playlist to a channel and set dayparts

**In Menu Builder**

- Click the screen, then the entry to replace
- Change Template and pick a template
- Fill in the fields
- Submit for render
- Check the draft on the Submissions page
- Accept and publish

### If something doesn't look right

| Problem | What to check |
| --- | --- |
| My entry doesn't appear in Menu Builder | Check the media item name starts with `Menu:` exactly, and that you saved the playlist in the CMS. |
| I can't see the Change Template button | Click an entry first. You'll find the button in the top right corner of the editing panel. |
| My draft isn't on the Submissions page | Give it a little time, then refresh the page. |
| The draft has a mistake | Don't click Accept and publish. Go back to the entry, fix the details and submit again. |
